Managing Millions in Campus Revenue
Bursar (Cashier) Services at The University of Texas at Austin manage the collection, documentation, and processing of monies owed the university by students, faculty/staff, etc. Operating through the Centralized Receivable System, the office acts as a financial hub for everything from routine housing payments and parking fines to institutional loans and federal financial aid disbursements.
Scope of Operations and Student Accounts
The scope of operations covers both routine student accounts and complex campus-wide financial logistics.
The division is responsible for processing tuition registration fees, tuition add bills, tuition installment bills, retiree insurance payments, class audit fees, dissertation and binding fees, tuition deposits, and returned checks.
Financial Aid Distribution and Cash Handling
Beyond student receivables, the unit handles the distribution of financial aid. The office disburses refunds, and scholarship/fellowship checks while maintaining daily reconciliation protocols. Departmental representatives also rely on the cash services desk to receive and verify manual and electronic deposits accurately while the customer waits.
Security Protocols and Petty Cash Management
Operational security and petty cash management form another core component of daily duties. Staff members order and furnish standing petty cash change orders for certain departments, cash certain petty cash reimbursement checks, and furnish emergency change funds to certain departments. Every transaction must clear the daily Cash Receipts Voucher to ensure all funds post accurately to the university’s accounting records.
Loss Prevention and Institutional Oversight
Administrative oversight extends to physical security and loss prevention. Office protocols require routine testing and verification of all security systems to maintain a secure environment during non-office hours. These measures are designed to maintain procedures that minimize the loss of funds to the university while providing information for UT departments preparing to accept credit card payments via the internet.
